Organising a Small Business That Works (Without Burning Out)

By 25th May 2025July 28th, 2026No Comments

Organising a small business that works (without burning out) means replacing chaos with simple systems — a decluttered inbox, one client database, templates for repeat tasks, and regular accountability check-ins. Katie used exactly this approach to move from overwhelmed and scattered to clear, confident, and in control — in four weeks flat.

You can be brilliant, multi-passionate, and bursting with ideas—and still feel like you’re drowning. Building a business that works (without burning out) starts with clarity, and that’s exactly what this 30-day journey delivered.

Katie came into our work together with a lot of ideas and a bold vision: to bring her constellation workshops, yoga teaching, and new training arm together into a business that felt purposeful, professional, and profitable. She was already highly experienced and deeply committed to her clients, but despite all that passion and expertise, she was stuck in ‘where-to-start’ mode. What she needed wasn’t more ideas — it was help organising a small business that already had all the right pieces, just none of them talking to each other.

She came looking for structure, direction, and someone who could help her get organised enough to move forward with clarity. She didn’t want cheerleading or fluffy affirmations. She needed someone to map out the steps, hold her accountable, and help her stay focused.

The Challenge

Katie was spinning a lot of plates. She had a yoga programme to fill, a constellation workshop series to promote, and a desire to launch a new training offer with collaborators. But without foundational systems in place, she constantly felt pulled in multiple directions. Her inbox was chaotic. Her bios, propositions and online presence didn’t reflect her current offerings. And she didn’t have the brain space or energy to tackle her to-do list alone.

She was also, in her words, the kind of person who dives in deep but gets overwhelmed by too many moving parts. She procrastinates like a boss. And while she didn’t want someone to sugar-coat things, she did need structure, clarity and a solid plan to follow.

Our goal was never to create more busy work — it was to help Katie focus on organising a small business that already worked, by refining her offers, systems, and support.

“The idea of sitting down to ‘get my business in order’ felt exhausting. I had big ideas, but everything felt chaotic and scattered—my inbox was out of control, my marketing was ad hoc at best, and I was constantly avoiding the organisational tasks I knew were holding me back.”

Organising a Small Business for Growth

Together, we got to work creating tangible outcomes that would help Katie move from chaos to clarity.

We focused on one core objective: getting her systems and structure in order. With that in mind, we:

  • Decluttered her inbox, migrated her to Google Workspace, and organised her systems
  • Started consolidating her client database and laid the groundwork for marketing automation
  • Leaned into learning how AI could help her write new bios, marketing content, and begin shaping core propositions
  • Created admin and event planning templates to reduce manual workload and mental clutter
  • Supported real-time decision making around photography, event logistics, and collaborations
  • Used accountability check-ins to help her stay focused, avoid overwhelm, and follow through on her goals

The Results

Katie didn’t just organise her inbox. She made huge strides in her business in just four weeks:

  • Successfully migrated to Google Workspace with a new domain
  • Cleared thousands of emails and created systems to manage incoming admin
  • Organised a mini brand photoshoot to support her summer festival appearances
  • Booked venues for her year of constellation events and yoga sessions
  • Refined multiple bios using AI and began shaping a clearer outward-facing brand identity
  • Confirmed dates and content for a new training collaboration and began mapping out its launch
  • Reconnected with her creativity, clarity and confidence—with new ideas and energy to fuel what’s next

The Transformation

This wasn’t about colour-coding folders. It was about helping Katie access the mental clarity and structure she needed to lead her business with more focus and more ease.

Katie is a visionary. She has deep experience, real insight, and a powerful way of working with people. But like many multi-passionate entrepreneurs, she needed someone to help her prioritise, strategise and actually get things done.

Now, with the structure to support her creativity— she’s already seeing how much more is possible when she’s not carrying the mental load alone.

“You’ve kickstarted me into doing a hell of a lot of things—things I’ve been avoiding for ages. I’m back on it again, and everything’s coming together. More than anything, this experience helped me refocus. It gave me confidence to ask for support, clear space to think, and reminded me of what’s possible when I stop trying to do everything on my own.”
